Reservations, Paperwork & Payments

All productions must submit the following to set up an account:

Master Rental Agreement, Deal Memo, Certificate of Insurance (COI), and payment. All required paperwork must be submitted prior to any equipment being released, whether for pickup or delivery.

Quixote accepts the following payment methods:

  • ACH
  • Check/E-Check
  • Credit Card (Authorization Form must be provided)
  • Purchase Orders (POs) **this payment options may vary depending on account term

Some departments may require pre-payment before equipment can be released.

Cash on Demand (COD) clients are required to pay the full rental amount upfront, plus an additional sum for potential loss & damage or incidental charges. Any unused portion will be refunded after the rental period.

A refundable loss & damage deposit may be required, depending on your account’s payment terms.

Rates, Mileage & Fees

No. A quote is only an estimate based on the equipment placed on hold. Final charges may vary and can include fuel, excess mileage, loss & damage, parking, and other incidentals. 

Truck rentals are subject to change but currently include 100 free miles per day or 500 free miles per week. Additional mileage is charged at $0.65 per mile. Please inform your rental agent of your travel plans for an accurate quote.

A minimum $250 cleaning fee may apply if a unit requires additional cleaning beyond standard procedures upon return.

Yes, fuel is currently billed at $9 per gallon if the tank is not returned full—unless otherwise agreed upon with your rental agent.

Pickups, Deliveries & Parking

Delivery and pickup may be available for an additional fee. Rates vary depending on the location.

Insurance & COI

Discounts & Special Offers

Discounts may be available for certain production types, equipment bundles, or if you are using additional Quixote services. We also offer consideration for verified 501(c)(3) nonprofit organizations. Speak with your rental agent to determine eligibility.

Yes, we carry both StarWaggon and Quixote branding for our trailers. If you have a preference, please notify your rental agent at the time of booking. Requests are subject to availability and unit type.

Event Trailers

General Inquiries

Yes, we deliver and pick up at any time. We have locations in California, New Mexico, and Georgia, and we can deliver nationwide.

Each trailer comes with:
  • (1) roll of toilet paper
  • (1) roll of paper towels
Any additional items (e.g., hand soap, trash bags, hand towels, bath towels, coffee pot, etc.) must be provided by production or ordered through our production supply team.

Yes, all furniture is included inside the trailers.

Our vehicles are equipped with Wi-Fi which can be provided as an additional service. 

We offer an on-site technician for an additional cost. If you choose not to have an on-site tech, our after-hours service team is available to troubleshoot issues over the phone.

If your event is located more than 50 miles outside our service range, we strongly recommend adding an on-site technician to your quote. This ensures any potential issues can be handled immediately. On-site techs are an additional charge. If a tech is not booked, response times may be delayed, and support will be limited to phone troubleshooting only.

Our standard non-solar trailers come equipped with onboard generators that typically last 18–20 hours. We do not offer refueling services, production is responsible for refueling with regular unleaded gasoline as needed. Our solar-enabled trailers generally do not require generators because the solar system is fully capable of powering the trailer. 

Power requirements vary by unit, but most of our trailers come with (2) 30-amp RV plugs or (1) 50-amp RV plugs. We’ll provide exact specifications based on the trailer selected.

Yes, we offer location scouts at an hourly rate to assess accessibility and ensure proper placement of trailers and equipment.

We recommend booking as early as possible to allow time for processing all required paperwork before releasing the units. This includes providing a Certificate of Insurance (COI), completing a Master Rental Agreement (MRA), and submitting payment.

Commercial Vehicles

General Inquiries

We do if your job is non-union and only certain trailers qualify. Drop-Off/Pick-Up is upon request.

It’s a 10-hour minimum for the driver.

Our vehicles are equipped with Wi-Fi which can be provided as an additional service.

For a rental, we require a deal memo, COI (certificate of insurance), and payment. We may require other agreements depending on the job.

No, the driver seat is the only seat with a seat belt.

Our operations team can advise to an extent if the vehicle you’re interested in could work for your location. Please let us know ahead of confirming your rental.

All charges are figured portal-to-portal, meaning from the time the vehicle leaves Quixote’s lot to the time it returns in LIKE CONDITION. Like condition is defined as the same condition the vehicle began the rental in, eg: drivable, dumped, fueled, cleaned and prepped for the next job. The average dump, fill and clean time is 30-60 minutes per vehicle. Please keep in mind that all rigs may take double the amount of time to travel.

Yes, we provide tow units for our trailers and tow unit rate is baked into the trailer rate. One of our roster drivers will be driving the tow unit and stay on for the duration of the job or deliver the trailer if the job qualifies for that.

Once your job is confirmed, our dispatch team will send driver information the day before the job. Make sure to include the driver in your callsheet and the driver will be there whenever you need them.

Los Angeles

Yes, we offer pre-loads on request.

This varies by location. In Los Angeles, we currently have a gated lot with 24/7 security so you can come and go as you please with personal vehicle rates starting at $30 per day and truck rates starting at  $40 per day.

Yes, Quixote provides delivery, shipping, and pickup for a fee. The fee is determined by shipping costs & mileage. All pickup/delivery requests outside of our office hours are subject to a minimum $250 after-hours fee.

New York

Yes! We can deliver and pick up within all five boroughs of NYC, as well as within certain areas of New Jersey, and Upstate NY.  We offer curbside service as well as load in and load out services. Please reach out to our team to confirm availability.

We offer parking of Quixote vans (Passenger Vans and Cargo Vans only) at a rate of $50 per night. Due to limited lot space, we do not allow for overnight parking of box trucks.

Yes, we do! Any cargo van or truck that’s rented from us in conjunction with supplies is eligible to be preloaded. Please reach out to schedule your preload service with our team.

Unfortunately, we do not provide set ups or breakdowns.

Ask your rental agent. Certain requests for pro supplies delivery in motorhomes may be able to be accommodated.

Our production supplies warehouse is located at 1082 Flushing Ave, Brooklyn, NY 11237.

Lighting & Grip

General Inquiries

Yes, we offer preloaded Sprinters, 3-ton, 5-ton and 10-ton vehicles. 

The cost of renting grip and lighting equipment depends on several factors, including the type of equipment needed and how long it is needed for.

No, we do not sell insurance.

No, insurance is required for all rentals.

No, we are not. But if you need to pick up or drop off during the weekend, arrangements can sometimes be made. Please discuss with your rental agent; an opening fee will apply.
